Add time transactions to a service order

The following describes a simple way of reporting time on an existing service order job when more than one engineer have been working on the same job.

This routine provides for the possibility to follow up the time spent by the engineers. Based on the service item that is selected, the system will calculate normal time and overtime depending on the time rule matrix (see Define time rules for service planning). The calculated normal time and overtime will later be a basis for charging the customer in the service order close routine.

There are other ways of reporting time transactions. These methods are covered in About reporting time in Service.

  1. Select the Work with service orders menu item.
  2. You access Work with service orders, Header view. Select the applicable service order and click Jobs/Agr lines.
  3. You access Service order jobs. Select the job for which you want to report time and click Time transactions.
  4. You access Work with time transactions. This panel is empty if time registration for the selected service order job has not yet been done. Click Add to report time for one of the engineers involved in this job.
  5. You access the Time transaction detail panel. The following fields are relevant:
  6. Order/job
    Displays the selected order and job numbers.
    Date
    Enter the date for which the time transaction is being reported.
    Engineer
    Enter the name of the engineer to which the time transaction relates.
    Service item
    Enter a code from the Item file. The item must be of type service item group with time registration allowed as defined in the Service item group table.
    Start
    Enter the start time of the time transaction. Valid entries are between 00.00 and 24.00.
    Stop
    Enter the stop time of the time transaction. Valid entries are between 00.00 and 24.00. Stop time must be greater than start time.
    Finished
    Indicate if the time transactions for the service order job or engineer are completed.

    Click OK to update.

  7. You remain on the same panel which is now empty. You may now report time for the next engineer involved in this job, if applicable.
  8. When you have entered the applicable time transactions for all engineers, click Back.

  9. You return to the Work with time transactions panel where the entered time transactions are displayed.
  10. Tip: Click the Create from option if you want to use an existing time transaction when creating a new one.

    From this panel you can also:

    • Maintain entered time transactions. (You are not allowed to change or delete time transactions when time registration is completed; Finished is set to YES.)
    • Enter text for an engineer.
    • Reopen a closed line. (You cannot reopen an individual line if the entire order is closed.)

Exit the routine.
