For element lines to be included in a sales order they must be set up as follows:
- The element line must be a project item line.
- The element line status must be Blank (entered) or 20 (printed).
- The acquisition type must be 1 (issue from warehouse) or 2 (manufactured).
- The Time/Mtrl field for the element line must be set to NO.
- The element line must not be linked to another order.
Note: Apart from the sales order creation described below, you can also link a sales order to an existing project from Work with sales orders by referring to a project number. If this is done a new element line is created in the project.
Note: The cost centre defined in the Cost centre field for the project phase is used for the sales order transactions that are created from Project.
When sales orders are connected to a project element line; either linked from the sales order module or created from the Phase element maintenance panel, the following takes place:
- Warehouse and project transactions with type 750-755 are created.
- Actual costs on the project will be updated.
- Select the Work with projects menu item.
- You access Work with project orders. Select the project you want to work with and click Details.
- You access Phase maintenance. Select the phase from which you want to create a sales order and click Elements. (Tip: You can also access the element level of the project by clicking Level on this panel and selecting the Element level).
- On Phase element maintenance, click Create sales order.
- You access Create sales order from project displaying all element lines that can be selected for inclusion in the sales order.
- Order type
- Enter the sales order type to be used for creation of sales orders. Default value from the user is retrieved.
- Customer
- Displays the project customer by default, but can be changed.
- Sales order
- This field is normally left blank to let the system pick the next available order number from the Number series table. After the creation of a sales order the order number is displayed in this field. Any remaining element lines can also be added to the displayed sales order or to any other already existing sales orders.
- Currency
- Optional entry. If you want the sales order to be created with a different currency than the project currency, enter a code from Work with currencies denoting the currency for the sales order.
- You access Work with sales orders, Order line, main info. From this panel you can maintain the sales order header information. For the purpose of this example, click OK to accept the sales order information. Exit the routine.
Highlight the element lines that should be included in the new sales order and click Select. Selected element lines are marked with a YES in the S field.
Complete the following fields:
Click Create sales order to create a sales order for all selected element lines.
