Maintain an A/R payment proposal

The following describes how to change information for a document such as payment date, payment amount, how to change or analyse connected A/R documents and delete a single document from the proposal.

Note: If the proposal is locked, then you can release it by selecting the Work with A/R payment proposals, unlock menu item.

  1. Select the Work with A/R payment proposal menu item.
  2. On the Overview panel, select the proposal you want to maintain.
  3. You access A/R payment proposal, Select activity. Tick Maintain proposal and click OK.
  4. You access A/R payment proposal, Maintain document. Select the applicable document. Tip: You can use the Debtor no field at the bottom of the panel to position on debtor number. And, you can click Negative payments to toggle between showing only negative payments and all payments.
  5. You access A/R payment proposal, Maintain document with detail information for the selected document.
  6. Payment amount

    The fields in this section show the amount to be paid for the included documents. The payment amount is shown in transaction and system currency.

    Note: Only applicable if you are running the German application: Cash discount on an A/R payment is considered while calculating the payment amount.

    You can change the following fields:

    Due date
    Displays the document date of the proposed payment. See the Panel help for information about what applies for this field in combination with the Cash disc due date field.
    External document
    Payment mode
    The system defaults the main payment mode for the debtor or the forced payment mode entered on document level. This field may not be changed if the proposal has been updated.
    Bank code
    Connected doc type
    Our bank
    Cost centre
    Only mandatory if Cost centre accounting is used.

    The following three fields are defaulted from the debtor’s payment mode. They are only applicable if the payment mode requires acceptance.

    Reminder code
    Reminder grace days

    The following functions are available on this panel:

    • To display the A/R open items, click Paid documents. On this panel you can select transactions to be included in the payment, or deselect the A/R transactions that are not to be included. See step 6 below. Note: You are able to include both “normal payments” without a defined liquid entry type and payments with liquid entry type = 8 (Cash book).
    • To update detail payment information on document level, click Payment details. The information shown is retrieved from the Business partner file. The panel shown varies with the payment mode. The values you change on this panel will only be valid for this document.
    • To update default values for the debtor’s payment mode, click Debtor payment modes. You access the panel for maintenance of the debtor payment modes in the Business partner file. The values you change will be valid for all documents in the proposal that do not have payment information on document level. See description for Payment details in the paragraph above.
    • To delete the document from the proposal, click Delete.

    Click Paid documents.

  7. You access A/R open items selection where you select which documents to settle with the payment. The document can be marked off directly, or transferred to the bottom part of the panel for maintenance. Tip: Click Selection to access the selection panel for open item documents. Click Update to update. Exit the routine.
