- Select the Work with stock takes menu item.
- On the initial panel, select the applicable list number and click Report count.
- You access Stock take entry. Complete the following fields:
- List number
- The selected list number is automatically retrieved, but can be changed.
- Line number
- This field can be used to allow other users to work with the same stock take list but outside the range of lines you enter here. Enter the (from-to) line number, that is shown on the stock take list printout you are going to work with. The entered number interval will be locked for other users until this panel is displayed again. If nothing is entered in this field, all lines will be selected and locked.
- You access Stock take entry, all lines, where you enter the quantity for the items you have counted.
Note: If the following stipulations are met and there is a mixture of internally and/or externally owned stock on the stock take list, you can select the Owner count option to access a panel where you can report the count per owner. If there are multiple owners of the item on the stock take line, the Owner column on this panel will display *MULT.
- STKOWNER (Stock Ownership) function is activated in the Function control file.
- Contract Managed Inventory (CMI) application is activated and there is externally owned stock in your physical warehouse for Customer Deposit Stock (CDS) and/or Supplier Consignment Stock (SCS) inventory contracts.
- The physical warehouse is set up with the Stock take/owner flag set to YES.
Using stock take entry
The stock take entry is based on the list number and the line number that you entered on the initial Stock take entry panel.If the item is not counted, you should leave the quantity fields blank. The current stock balance for this item will not be changed by the Stock take update routine.
If the item has been counted but no stock has been found, enter 0 (zero).

The following columns/fields are relevant:
- Line
- Note: The equivalent selection field on the bottom of the panel can be used to position within the stock take list. Enter a line number to go directly to a specific line.
- Unit
- Displays the default Stock count unit as defined in the Item file, Inventory information panel. This field is only a suggestion that was printed on the stock take list. You can, therefore, enter transactions for any unit that has been validated for the item by using the Change unit function key. Note: If Warehouse Management is installed and activated, an additional (preferred) unit for the item can be defined in the Item file (Location types panel).
- Qty counted
- Enter the counted quantity from the stock take list. Note: To adjust an already updated quantity in the Tot counted field, you can enter a negative value in this field and click OK.
- Tot counted
- You can count the same item several times. This field is updated after each count and displays the total, in stock unit, of the quantities entered in the Qty counted field. Click OK to add each calculated value to the total. To restart the counting, click Reset counting and blank out this field.
- Unit
- Displays the stock unit that was defined for the item in the Item file (Inventory information panel). Note: The unit code displayed here cannot be changed. It does not have to be the same as the unit code entered for the counted quantity, since the unit used during the counting can be changed
- Batch
- Displays the batch ID. If the item is active in Warehouse Management and you perform a standard item count, you can complete this field if:
- the item is assigned to a location
- there is stock on hand in the Warehouse balance file
- there is no stock on hand in the Location balance file
- Enter the batch ID of the counted quantity. The batch must exist in the Batch file. Note: When you have completed this field and you exit the panel, you will not be able to change the batch ID if you return to this panel again.
The following fields are displayed if Warehouse Management is not installed and activated:
- Bin 1
- Displays the first bin location where the item is stored.
- Bin 2
- Displays the second bin location where the item is stored.
The following fields are displayed if Warehouse Management is installed and activated:
- Count
- Displays the number of times the item has been counted.
- Zone/Location
- Displays the zone and location for the Warehouse management item.
- NCC number
- Displays the NCC number if the location had NCC stock that was counted.
Click OK to update. Exit the routine. The total estimated difference percentage for the counted lines is calculated as well as the counted lines’ percentage of the total lines. (See Example: Calculated total estimated cost difference for a stock take list for more information).
Several stock take lists may be active at the same time and the difference percentage gives the possibility to prioritize lists showing larger differences in order to take action as soon as possible. Once the variance is at an acceptable level, the stock count list can be closed and the stock balances and the General Ledger are updated.
Click OK.
