Time axis calculation for a batch-controlled item

The following describes how the time axis is updated for a batch-controlled item which:

  • has not been allocated during Sales order entry.
  • is date-handled. If the batch is not under date handling, you can view the information as you would for a normal item, with the exception that a held quantity may appear (see View available quantity for a batch-controlled item).

Note: If you specify the batch during Sales order entry, the reservation is made on both warehouse and batch level (meaning the total available quantity will be equal on both levels).

The figures in the Time axis enquiry are retrieved from those in the Batch file enquiry.

In order to understand this example, assume that the data in the Batch file enquiry is as outlined in the table below:

As previously mentioned above, you did not specify (during Sales order entry) the batch for the item. The system will therefore choose the batch with the earliest expiry date during Pick list printout. According to the table above, the chosen batch will be Batch B with available quantity 50.

This example describes a situation where:

  • a sales order with a quantity of 20 is reserved, without a specific batch, for delivery on 30/05/12

Note: Because you did not indicate, during Sales order entry, the batch for the item, this reservation is made on warehouse level only and not on batch level.

  • The batch is expected to mature on 27/05/12
  • The batch is expected to expire on 02/06/12

Note: The batch with quantity 50 (cell 02/06/12) will be reduced with 20 (because of the reserved sales order) as soon as the pick list is printed. This will result in a quantity of 30 remaining in stock and waiting to expire.

Calculate Net On hand
The Net “On hand” is calculated as follows:

On hand 200
– Picking 10
– Returns 5
– Under incubation (not matured) 50
– Previously expired 35
– Held 0
= Net “On hand” 90

Note: This Net “On hand” quantity is never visible on the Time axis enquiry, but is shown in the table examples below to help you understand how the system calculates the available quantity per day.

What is happening in each cell:

  • Quantity 20 in cell 30/05/12 is the quantity for the item for which no batch was allocated during Sales order entry.
  • In cell 02/06/12 the expired quantity will be reduced to 30 as the quantity of 20 in cell 30/06/12 was not specified during Sales order entry. This means that 20 of the 50 (from Batch B as it had the earliest expiry date) will be delivered before it expires, with a remaining quantity of 30 on date 02/06/12. (See the table example for Batch file enquiry)
    Note: The figures within the brackets are never displayed, but are shown to illustrate what would have happened if expired quantities were not affected by earlier reserved quantities without batch allocation.
  • In cell 02/06/12, the available quantity is 100 (130 – 30)
  • In cell 13/06/12 – 17/06/12, Batch A expires with quantity of 100. This expired quantity is subtracted from the available quantity, with a result of 0 available.

Calculate available quantity
The formula for calculating the available quantity is:

On hand
– Picking/kitting
– Returns to supplier
– Expired
+ Matured
– Sum of all sales orders components/manual reservations from previous cells
– Sum of all sales orders components/manual reservations in the current cell
– Sum of any Net Requirement Brought Back from subsequent cells within the planning time (NRBB)
+ Sum of all purchase orders (mother)/manual orders to be dispatched today or earlier
= Available

Using this formula, the available quantity for cell 13/06/12 – 17/06/12 = 0
