Analysing balances and budgets in Analyser

The following describes the process of performing an analysis of all information on Financials account balances and Distribution sales and purchase statistics in the database.

Every enquiry you make on data is controlled by the template you select. Templates, which control the behaviour of the Balance enquiry function, can be customised allowing you to retrieve just the information you are looking for.

Via the template you decide the columns you want to display in the enquiry and the keys on which you can select the data.

A column can be based on a Balance or Budget. When defining the columns, you can choose from the following to retrieve your data:

  • Value type (e.g., Balance value, Debit/Credit value, Budget value, etc)
  • Year
  • Budget – can base the enquiry on a budget
  • Balance type (Pre-loaded System balance types and any defined Distributed or Custom balance type). See Overview of balance structure for more information about Balance types.

There are also a vast number of keys you may select, to be used as input (selection) fields in your enquiry.

Note: To ensure you get a hit (i.e. retrieved data) during the running of an enquiry, a summary level should have previously been generated for the key or key combination you defined in the template. See Define a summary level for instructions.

During the running of an enquiry you can do the following:

  • Accumulate the values for every enquiry in one session
  • View the totals of the accumulated values
  • Save the totals for later use – also accessible to anyone in your network (if you have made the information public)
  • Add additional formula columns
  • Drill down to the following lower level transactions:
    • DIS invoice transactions
    • G/L transactions
    • A/P transactions
    • A/R transactions
  • Select Query groups

All features available in any tables/windows throughout Analyser are also applicable in the Balance enquiry. These include, e.g., converting the results to a supported spreadsheet program, viewing the numerical data in graphical format, emailing the results, printing, etc.
