Define a calculation for the components in the Profitability Analysis report

Note: This is optional and need only be done if you want to analyse information on a more detailed level (i.e. tracking the costs and breaking down this information). You can bypass this feature and just create a simple report without any calculation. In this case the values for the Balance types are automatically retrieved and displayed in the report.

The calculation you define is entirely up to you and is a simple drag and drop process, using any existing component.

Note: The system will perform a cross validation for the Balance types you include in the calculation and the keys that will be available for selection and sorting on the Sequence page. See Define the keys and sorting order for the Profitability Analysis report for details.

Do as follows:

  1. Select the Manage PA definitions menu item and open the applicable definition (if this has not already been done).
  2. Toggle to the Calculation page.
  3. This window is divided into several sections.

    Top Left hand box
    In the left hand box you see all existing Balance component categories (if any were created) alternatively all available Balance components. Click the arrow beside a category to expand the list of available Balance components.

    Tip: Type information in the Find box and click the Find icon to quickly navigate to the applicable component.

    Tip: Click the right mouse button when the cursor is not over any item. A menu will appear where you can choose to view the components without icons or categories.

    Select the component(s) you want in the calculation and drag and drop it/them into the middle box.

    Middle box
    The Balance components are updated in the middle box with both the preferred operation and the value defined for the Balance component.

    Note: Although you may or may not have previously defined a preferred operation when you defined the balance components, you can always change/ add the operation. This is done by clicking on the operation symbol and then selecting the appropriate operation (plus, minus, multiplication or division symbol).

    Defining a fixed value
    If you want to define a fixed value in the calculation, drag and drop the Value icon (from the bottom left hand box) into the middle box. An icon appears displaying the available operation symbols (plus, minus, multiplication, division). Click the applicable symbol. A window prompts where you enter the value for the operation and click OK. The information is updated for that cell. Assign a name and description for the cell accordingly.

    Totalling the values
    To total two or more Balance components drag and drop the Sum icon (from the bottom left hand box) into the middle box. An equal (=) sign appears along with the description Sum. Click in the Description cell to change the description. The calculation for the affected components is automatically updated in the Value column.

    Other options

    • You can view the Balance component properties by:
      • clicking once on any component in the middle box – which displays the Operation, Description and Calculation in the bottom area of the window, or
      • right clicking the mouse button on a component and clicking Properties to prompt a window which shows the same information as described above, or
      • double clicking the component
    • To rearrange the calculation hold the left mouse button down on the applicable calculation line and drag it to the desired location.
    • To delete a calculation line, click on the >> icon and then Delete.

    When you are finished defining the calculation you are now ready to define the keys you want in the report and their sorting sequence.
