A/P and A/R transaction enquiry in Analyser

The following describes how you access Accounts Payable and Accounts Receivable information.

The enquiry routines for Accounts Payable and Accounts Receivable are identical. The routine for A/P enquiry is described below. To access A/R information, substitute A/P with A/R in all routines, commands, and results outlined in the instructions below.

Note: Any enquiry templates defined on the iSeries will be displayed in the Advanced selection drill down allowing you to run from Analyser. If you hover the mouse in the upper part of the drop down list, you will be prompted with the selection/sorting details of the enquiry templates.

Tip: If you create a table view with the same name as any of the enquiry templates, Analyser will use this table view when running the actual Advanced selection.

Note: Before you use the A/P and A/R transaction enquiry routines, make sure that you familiarise yourself with the standard routine for object enquiry described in Working with objects in Analyser, where you will find full details of the Multimedia functionality. See the related topics for configuration information as well as creating shortcuts to favourite functions.

Viewing A/R and A/P transaction information

To view an A/P or A/R transactions, do as follows:

  1. Select the A/P Transactions menu item in the Financial Analysis sub-menu.
  2. You access the A/P Transaction browser window. To run an A/P transaction search, you can enter some or all of the following information in order to determine the search terms:
  3. Position to box
    Choose Supplier or Document.
    Supplier
    Enter the supplier code.
    Include box
    Check / uncheck the Settled and Open selections boxes.
    Sequence box
    Select Ascending or Descending.
    Document box
    Enter the document type in the Type field. Enter the document number in the Number field.

    To run the search, click Find.

  4. You view the results of the search in the table list in the A/P Transaction browser window.
  5. To access more A/P transaction information, do as follows in the A/P Transaction browser window:

    • Either, select the A/P Transaction and click Select
    • Or, click the A/P Transaction with the right mouse button to get the A/P Transaction pop up menu and choose A/P Transactions/Show/Details.
  6. You access the Transaction details window:
  7. From this window, you have access to a large amount of information from the Transactions file.

    The following commands are also available if you click the right mouse button on a transaction in the Transaction browser and Transaction details window. They are also available from the menu bar in the Transaction details window, allowing you to view even more information about the transaction.

    Note: The icon command alternatives are only available in the Transaction details window.

    A/P Transaction/Show/Details   You view the Transaction details window.
    A/P Transaction/Show/Invoice details You view the invoice details for the transaction.
    A/P Transaction/Show/Settlements You view the settlements.
    A/P Transaction/Show/Time stamp   You view the time stamp.
    A/P Transaction/Show/Stop reasons If the transactions have been stopped, you view the reason.
    A/P Transaction/Show/Text

    (These options are only available if Text exists).

    You view existing annotations/text.
    A/P Transaction/Show/Matched invoice lines   You view all purchase order lines that have been matched against the A/P document type FLI. You can drill down to view the details.
    A/P Transaction/Show/General ledger/Transactions You view the General Ledger transaction associated with the transaction.
    A/P Transaction/Show/General ledger/Control account   You view the control account.

    Note: The View default image icon in the Transaction details window is a shortcut for the commands from the menu bar: Item/Multimedia objects/View default image. If any other multimedia objects exist, you can view these via the applicable command from the menu bar.
