Set up a new template and defaults for an asset

The following steps are included:

  • Select the panels that should be valid and therefore shown when using this template in the Work with assets routine. The only mandatory panel, however, when adding a new asset is Basic data.
  • Define default ID’s and default values for all valid selected panels.

Note: The selection of the valid panels for the template is a question of choice, most probably dictated by the role you have in the company.

  1. Select the Work with asset templates menu item.
  2. You access Asset template maintenance with a list of all existing templates. Note: This panel is empty when the system is first installed. Nothing is preloaded. Click Add to create a new template.
  3. On the detail panel, you see a list of all programs (panels) within the Work with assets routine. The following fields are mandatory:

    Enter the code for the template you are creating.
    Description
    Enter a description for the template.
    Sequence
    Enter a sequential number for each panel you want to include in the template, thereby defining in which order they should be accessed when you use this template in the Work with assets routine. You must not omit any numbers, and you must start with number 1.
    As previously mentioned, you will select all the asset panels here. Note: If this template should be used to add a new asset into the Asset file, then the Asset basic information panel must be included and it must have sequence number 1.

    Default
    You complete the fields in this column after you have established a default ID and default values for the panels defined with a sequence (see steps 4-6 below for instructions).

    When you have defined the sequence, click Maintain defaults.

  5. You access Asset template defaults maintenance. All valid panels for which you can define default values are displayed. You can select one panel at a time or select all panels at the same time. If you select all, then you will access each panel for input one after the other. Select all panels and click OK.
  6. You access the default panel for the first panel selected, namely Basic information defaults maintenance with a list of all existing default ID’s for the Asset basic information panel and this template. Note: Again, this panel is empty when the system is first installed. Nothing is preloaded. Click Add.
  7. You access Basic information defaults. On this panel you enter pre-defined values that will be defaulted when you use this template in the Work with assets routine. By doing so, you avoid having to enter the same values repeatedly when adding similar assets. The following field is mandatory:

    Enter the identification and a description of the default you are adding. (For simplicity, enter the same identification as that you gave your new template.) You will enter this ID on the Asset template maintenance panel when you are finished with all default values for all panels.
    Note: You do not have to use just this default ID for the template. You can use any existing default ID, if it is relevant for the asset you are adding.

  9. You access Basic information attributes – Display/Input where you define which fields that should be displayed, and which fields that should be open for input. Note: All fields are set to YES by default. This means that any entry defined on the previous panel is both displayed and can be changed when you maintain the Asset file by using this default setup. The following combinations are possible:

    YES YES The entry will be displayed and it can be changed.
    YES NO The entry will be displayed, but it will be protected from input.
    NO YES This combination is not valid.
    NO NO The field will not be displayed and can consequently not be completed.

    Note: When maintaining the Asset file, the system will validate all fields, whether they are input protected or not. If there is an error, then the system will clear the protection and display the erroneous field, so that the error can be corrected.

    For more information about the fields on this panel, see the Panel help. Here, leave YES in all fields. Click OK.

  11. You return to Basic information defaults maintenance where you see your new default ID added to the list. Since you marked all valid panels to be shown one after the other (in step 4 above), click Back.
  12. You access the next panel in the series. Click Add to create a new record and then repeat the steps 6-8 until all valid panels have been completed with the default values you want. Note that the panel headings differ. Tip: For simplicity, assign the same default ID for all panels. For a description of what to enter in each field, see the Panel help.
  13. Click Back until you return to Asset template maintenance. Enter the default ID under the Default column for the panels you completed with default values. Click OK to update and exit the program.
