Setting up rounding rules for pack size and/or pallets

What this document contains:

This functionality, which deals with the possibility to define rounding rules in percentage for pack size and/or pallets via a Supply quantity rounding type, is applied when Purchase suggestions and Internal replenishment suggestions are created automatically by the system via the Create purchase suggestions and Create internal replenishment suggestions menu items. The rounding rules in percentage determine if the automatically calculated suggested quantity should be rounded up or down to the closest number of packages and/or pallets, or if the packages and/or pallets are allowed to be incomplete. You also, optionally, have the possibility to enter a number of multiples that will always induce a round up (consider them complete when you reach a certain number of packages and/or pallets).

Note: If no defined rounding rules, via a Supply qty rounding type, are linked to the applicable item/warehouse combination in the Item file, then the system will not consider pallet quantity at all to determine the rounding, and will work as follows:

For automatically created Purchase suggestions:
The system will always round up to the next multiple of pack size (if Pack size is defined for the item and supplier combination on the Item file maintenance, Purchase prices, details panel). If Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.

For automatically created Internal replenishment suggestions:

  • The system will look for any Internal pack size entry for the item and warehouse combination (on the Item file maintenance, Inventory management panel), and round up to the next multiple of Internal pack size.
  • If the Internal pack size is not defined, the system will look for any Pack size entry for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel), and round up to the next multiple of pack size.
  • If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.

This functionality is used in the following processes:

  • Create purchase suggestion
  • Create internal replenishment suggestion
  • Interactive line buy (Increase order size)

Set up rounding rules for pack size

The following depicts the rounding rule set-up instructions for pack size.

Note that the set-up instructions for everything required for packs size, and to create a Purchase suggestion and Internal replenishment suggestion are not outlined below. Ensure your system is set up with everything that is needed.

Tables/Files To do
Work with items For automatically created purchase suggestions, make sure your items have the following defined:

  • Planning method field set to 1 (Purchase suggestion) or 6 (Purchase sugg, Supply plan) on the Item file maintenance, Inventory information panel. (Note: If that field is set to 6 then the Item must be activated for supply plan, i.e. the Supply plan field on Item file maintenance, Inventory management panel must be set to YES.)
  • Item type field set to 3 or 4 on the Item file maintenance, Manufacturing info panel
  • You may optionally define:

  • Pack size for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel). An entry in this field is used if a Supply qty rounding type is not defined for the item (on the Item file maintenance, Inventory management panel) for the applicable item/warehouse combination. If that field is not defined, the system will look for any Pack size entry, and round up to the next multiple of pack size. If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.

For automatically created internal replenishment suggestions, make sure your items have the following defined:

  • Supplied from whs field on the Item file maintenance, Inventory management panel for your item and warehouse combination. The value in this field is retrieved from Work with warehouses, but may be overridden here. Enter the warehouse code indicating the warehouse from which this item in this warehouse is supplied.
  • Planned from whs field set to 2 (Supplying warehouse) on the Item file maintenance, Inventory management panel for your item and warehouse combination.
  • You may optionally define:

  • Internal pack size for the item and warehouse combination (on the Item file maintenance, Inventory management panel). An entry in this field is used if a Supply qty rounding type is not defined for the item (on the Item file maintenance, Inventory management panel) for the applicable item/warehouse combination. If that field is not defined, the system will look for any Internal pack size entry, and round up to the next multiple of Internal pack size. If the Internal pack size is not defined, then
  • The system will look for any Pack size entry for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel), and round up to the next multiple of pack size.
  • If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.
Work with supply quantity rounding types Per supply quantity rounding type you define the rules for rounding. You will eventually connect the applicable type to the Supply qty rounding field on the Item file maintenance, Inventory management panel for the Item and Warehouse combination.

Add as many supply quantity rounding types as required, and complete the following fields:

    Type
    Description
    Pack size rounding
    Optional entry. Indicate if you want to define rules over how to round the suggested supply quantity in regards to pack size.
    Round up %
    Optional entry. When the Pack size rounding field above is set to YES, at least this field or the Round down % field must be defined. Enter the percentage of a pack size quantity that will induce a rounding up to the next multiple of purchase unit pack sizes. (Note: On Item file maintenance, Purchase prices, details panel where the pack size is defined, please be aware that it is defined in purchase units. So if Purchase unit is BOX5 and Pack size is defined as 100, then the pack size in stock units that is used in all further calculations is 5×100=500 in stock units.)

    Example:
    Pack size (defined in the Pack size field on the Item file maintenance, Purchase prices, details panel) is 100. Round up % is 15%.

    • Calculated Supply (Suggested) quantities >= 85 and <100 will be rounded up to 100
    • Calculated Supply (Suggested) quantities >= 185 and <200 will be rounded up to 200
    • Calculated Supply (Suggested) quantities >= 285 and <300 will be rounded up to 300
    • Calculated Supply (Suggested) quantities >= 385 and <400 will be rounded up to 400
    • etc
    Round down %
    Optional entry. When the Pack size rounding field above is set to YES, at least this field or the Round up % field must be defined. Enter the percentage of a pack size quantity that will induce a rounding down to the previous multiple of purchase unit pack sizes. (Note: On Item file maintenance, Purchase prices, details panel where the pack size is defined, please be aware that it is defined in purchase units. So if Purchase unit is BOX5 and Pack size is defined as 20, then the pack size in stock units that is used in all further calculations is 5×20=100 stock units.)

    Example:
    Pack size (defined in the Pack size field on the Item file maintenance, Purchase prices, details panel) is 100 stock units. Round down % is 10%.

    • Calculated Supply (Suggested) quantities > 100 and <=110 will be rounded down to 100
    • Calculated Supply (Suggested) quantities > 200 and <=210 will be rounded down to 200
    • Calculated Supply (Suggested) quantities > 300 and <=310 will be rounded down to 300
    • Calculated Supply (Suggested) quantities > 400 and <=410 will be rounded down to 400
    • etc

    Note: It is possible to define both a Round up % and Round down %. In such a case, and basing it on the examples where Round up % = 15% and Round down % = 10%, it means that sometimes the calculated suggested quantity will not be rounded according to pack size, i.e., package will be incomplete.

    Example:

    • Calculated Supply (Suggested) quantity >0 and <85 will not round the quantity, i.e., package will be incomplete.
    • Calculated Supply (Suggested) quantity >110 and <185 will not round the quantity, i.e., package will be incomplete. The result will be one complete package of 100 stock units and one incomplete package (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >210 and <285 will not round the quantity, i.e., package will be incomplete. The result will be two complete packages of 100 stock units each and one incomplete package (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >310 and <385 will not round the quantity, i.e., package will be incomplete. The result will be three complete packages of 100 stock units and one incomplete package (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >410 and <485 will not round the quantity, i.e., package will be incomplete. The result will be four complete packages of 100 stock units each and one incomplete packages (i.e., the remainder of the suggested quantity).

    Note: If you enter Round up % = 50% and Round down % = 50%, then the supply quantity will be half adjusted to the closest multiple of pack sizes.

    Round up multiples
    The idea with this parameter is to avoid incomplete packages when the suggested quantity is a large number of packages. This field is optional. Enter the number of multiples of pack size quantities that that always will induce a rounding up to the next multiple of pack sizes.

    Example:
    Pack size (defined for the item and supplier combination (on the Item file maintenance, Purchase price details panel) for the item) is 100 purchase units. Round up multiple is defined as 10.

    • Now suggested quantity >100×10=1000 purchase units will always round up to the next multiple of full packages, no matter how the Round up % and Round down % are defined.
    • 999 will not be affected because it is less than the suggested quantity.
    • 1105 will always round up to 1200.
    • 1456 will always round up to 1500.

    Enter the applicable rounding type from Work with supply quantity rounding types if you want to apply the rounding rules for the automatically calculated supply (suggested) quantity for this item to this warehouse in the Create purchase suggestions and Create internal replenishment suggestions routines.

    Rounding impact for purchase suggestions if you leave this field blank
    If you leave this field blank for the item and warehouse combination, the automatically calculated supply (suggested) quantity will be:

    • Rounded up to the next multiple of pack size if Pack size is defined for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel).
    • If the Pack size is not defined, then the calculated supply (suggested) quantity will not be rounded.

    Rounding impact for Internal replenishment suggestions if you leave this field blank

    If you leave this field blank for the item and warehouse combination, the automatically calculated supply (suggested) quantity will be:

    • Rounded up to the next multiple of Internal pack size if the Internal pack size field is defined on the Item file maintenance, Inventory management panel for the item and warehouse combination.
    • If the Internal pack size is not defined, the automatically calculated supply (suggested) quantity will be rounded up to the next multiple of Pack size if the Pack size is defined for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel).
    • If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.

Set up rounding rules for pallets

The following depicts the rounding rule set-up instructions for pallets.

Note that the set-up instructions for everything required for pallets, and to create a Purchase suggestion and Internal replenishment suggestion are not outlined below. Ensure your system is set up with everything that is needed.

Tables/Files To do
Work with items Make sure the item/warehouse used in the automatically calculated suggestions are activated for Warehouse Management, i.e., the Activate WHM field on the Item file maintenance, Warehouse management panel is set to YES.

On the second Item file maintenance, Warehouse management panel for the item and warehouse combination, define the Quantity in pallet if you plan on linking the Supply qty rounding type (holding the rounding rule), which will apply it against this pallet quantity for rounding. If you do not link the Supply qty rounding type to the item/warehouse combination, the system will use the ‘pack size’ information for rounding if that information is defined. Otherwise no rounding will take place.

For automatically created Purchase suggestions, make sure your items have the following defined:

  • Planning method field set to 1 (Purchase suggestion) or 6 (Purchase sugg, Supply plan) on the Item file maintenance, Inventory information panel. (Note: If that field is set to 6 then the Item must be activated for supply plan, i.e. the Supply plan field on Item file maintenance, Inventory management panel must be set to YES.)
  • Item type field set to 3 or 4 on the Item file maintenance, Manufacturing info panel if the MFG application is activated. If that application is not activated, then this field is not applicable.
  • You may optionally define:

  • Pack size for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel). An entry in this field is used if a Supply qty rounding type is not defined for the item (on the Item file maintenance, Inventory management panel for the applicable item/warehouse combination). If the Supply qty rounding field is not defined, the system will look for any Pack size entry, and round the pallet up to the next multiple of pack size. If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.

For automatically created Internal replenishment suggestions, make sure your items have the following defined:

  • Supplied from whs field on the Item file maintenance, Inventory management panel for your item and warehouse combination. The value in this field is retrieved from Work with warehouses, but may be overridden here. Enter the warehouse code indicating the warehouse from which this item in this warehouse is supplied.
  • Planned from whs field set to 2 (Supplying warehouse) on the Item file maintenance, Inventory management panel for your item and warehouse combination.
  • You may optionally define:

  • Internal pack size for the item and warehouse combination (on the Item file maintenance, Inventory management panel). An entry in this field is used if a Supply qty rounding type is not defined for the item (on the Item file maintenance, Inventory management panel) for the applicable item/warehouse combination. If the Supply qty rounding field is not defined, the system will look for any Internal pack size entry, and round up to the next multiple of Internal pack size.
  • Pack size. If the Internal pack size is not defined, the system will look for any Pack size entry for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel), and round up to the next multiple of pack size.
  • If the Pack size is not defined, then the automatically calculated supply (suggested) quantity will not be rounded.
Work with supply quantity rounding types Per supply quantity rounding type you define the rules for rounding. You will eventually connect the applicable type to the Supply qty rounding field on the Item file maintenance, Inventory management panel for the Item and Warehouse combination.

Add as many supply quantity rounding types as required, and complete the following fields:

    Type
    Description
    Pallet rounding
    This field is only displayed if Warehouse Management is activated, and is an optional entry. Indicate if you want to define rules over how to round the suggested supply quantity in regards to full pallets.
    Round up %
    This field is only displayed if Warehouse Management is activated, and is an optional entry. When the Pallet rounding field above is set to YES, at least this field or the Round down % field must be defined. Enter the percentage of a pallet quantity that will induce a rounding up to the next multiple of pallets.

    Example:
    Pallet quantity (defined in the Quantity in pallets field on the Item file maintenance, Warehouse management panel for the item) is 1000 stock units. Round up % is 15%.

    • Calculated Supply (Suggested) quantities >= 850 and <1000 will be rounded up to 1000
    • Calculated Supply (Suggested) quantities >= 1850 and <2000 will be rounded up to 2000
    • Calculated Supply (Suggested) quantities >= 2850 and <3000 will be rounded up to 3000
    • Calculated Supply (Suggested) quantities >= 3850 and <4000 will be rounded up to 4000
    • etc
    Round down %
    This field is only displayed if Warehouse Management is activated, and is an optional entry. When the Pallet rounding field above is set to YES, at least this field or the Round up % field must be defined. Enter the percentage of a pallet quantity that will induce a rounding down to the previous multiple of pallets.

    Example:
    Pallet quantity (defined in the Quantity in pallets field on the Item file maintenance, Warehouse management panel for the item) is 1000 stock units. Round down % is 10%.

    • Calculated Supply (Suggested) quantities > 1000 and <=1100 will be rounded down to 1000
    • Calculated Supply (Suggested) quantities > 2000 and <=2100 will be rounded down to 2000
    • Calculated Supply (Suggested) quantities > 3000 and <=3100 will be rounded down to 3000
    • Calculated Supply (Suggested) quantities > 4000 and <=4100 will be rounded down to 4000
    • etc

    Note: It is possible to define both a Round up % and Round down %. In such a case, and basing it on the examples where Round up % = 15% and Round down % = 10% for 1000 stock units, it means that sometimes the calculated suggested quantity will not be rounded according to pallet quantity, i.e., pallets will be incomplete.

    Example:

    • Calculated Supply (Suggested) quantity >0 and <850 will not round the quantity, i.e., pallet will be incomplete.
    • Calculated Supply (Suggested) quantity >1100 and <1850 will not round the quantity, i.e., pallet will be incomplete. The result will be one complete pallet of 1000 stock units and one incomplete pallet (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >2100 and <2850 will not round the quantity, i.e., pallet will be incomplete. The result will be two complete pallets of 1000 stock units each and one incomplete pallet (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >3100 and <3850 will not round the quantity, i.e., pallet will be incomplete. The result will be three complete pallets of 1000 stock units and one incomplete pallet (i.e., the remainder of the suggested quantity).
    • Calculated Supply (Suggested) quantity >4100 and <4850 will not round the quantity, i.e., pallet will be incomplete. The result will be four complete pallets of 1000 stock units each and one incomplete pallet (i.e., the remainder of the suggested quantity).

    Note: Based on 1000 stock units for the Round up % and Round down % examples, if you enter Round up % = 50% (i.e., 1500) and Round down % = 50% (500), then the calculated supply (suggested) quantity will be half adjusted to the closest multiple of pallets.

    Round up multiples
    The idea with this parameter is to avoid incomplete pallets when the suggested quantity is a large number of pallets. This field is only displayed if Warehouse Management is activated, and is an optional entry. Enter the number of multiples of pallet quantities that always will induce a rounding up to the next multiple of pallets.

    Example:
    Pallet quantity (defined in the Quantity in pallets field on the Item file maintenance, Warehouse management panel for the item) is 1000 stock units. Round up multiples is defined as 10.

    • Now suggested quantity >1000×10=10,000 will always round up to the next multiple of full pallets, no matter how the Round up % and Round down % are defined.
    • 9999 will not be affected because it is less than the suggested quantity.
    • 11050 will always round up to 12000.
    • 14560 will always round up to 15000.

    If you leave this field blank for the item and warehouse combination, the automatically calculated supply (suggested) quantity will be:

    • Rounded up to the next multiple of pack size if Pack size is defined for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel).
    • If the Pack size is not defined, then the calculated supply (suggested) quantity will not be rounded.

    Rounding impact for Internal replenishment suggestions if you leave this field blank

    If you leave this field blank for the item and warehouse combination, the automatically calculated supply (suggested) quantity will be:

    • Rounded up to the next multiple of Internal pack size if the Internal pack size field is defined on the Item file maintenance, Inventory management panel for the item and warehouse combination.
    • If the Internal pack size is not defined, the automatically calculated supply (suggested) quantity will be rounded up to the next multiple of Pack size if the Pack size is defined for the item and supplier combination (on the Item file maintenance, Purchase prices, details panel).
    • If the Pack size is not defined, then the calculated supply (suggested) quantity will not be rounded.
