Caution: Make sure that no one is working in the system before you start this routine.
Prerequisites
The VAT reporting currency that you are converting to must exist in Work with currencies.
- Select the VAT reporting currency conversion menu item.
- You access VAT reporting currency conversion. The first time you select this menu item the system will automatically create a company unique VAT reporting currency conversion environment (creation of conversion library and compiling programs). This means that it may take some time before the panel is displayed. Complete the following fields:
- Country
- Enter the trader country that you want to convert transactions for.
- From voucher date
- Optional entry. All transactions with a voucher date lower than this date will not be converted. Note: For Intrastat transactions belonging to stock movements, no transactions with a lower delivery date than the entered From voucher date will be recalculated.
- To voucher date
- Mandatory entry, if a “from” date is entered. All transactions with a voucher date greater than this date will not be converted. Note: For Intrastat transactions belonging to stock movements, no transactions with a higher delivery date than the entered To voucher date will be recalculated.
- New currency
- Enter the new VAT reporting currency. If this is an EMU conversion, then enter EUR.
- Conversion rate
- Enter the conversion rate. The rate should be entered as:
- This means that the system uses the following method to calculate the new VAT reporting amount:
- Release
- Displays the current release.
- Conversion library
- Displays the name of the conversion library. The conversion library is created automatically by the system and holds all information that is unique for the company. The name of the library is, for example, A7SCTO4xx where xx is the company code.
- You access the Select conversion programs window with all available conversion programs for the company that you are signed on to. All available conversion programs are held in a file on company level. A conversion program converts one or several files. It is possible to select which programs that should be run for the conversion. If you want to run all the standard conversion programs you can skip this step. The following is shown:
- Sequence
- Displays in which sequence this conversion will be run, in relation to other conversion programs, this conversion program will be run.
- Appl
- Displays which application this conversion program belongs to.
- Program
- Displays the name of the conversion program.
- Status
- Indicates if the conversion program has been run or not. When you start the conversion all programs will have the field status set to 0. For more information on status 1 and 2, see Restart the VAT reporting currency conversion.
- Description
- Displays the description of the conversion program, i.e. which files the program converts.
- You access VAT reporting currency conversion selection, Start conversion. Click OK to submit the currency conversion program to batch.

Click Select conversion programs.
The first time you view this window all conversion programs will be selected. Scroll to view more programs.
Exclude a program
To exclude a program from the conversion run, deselect the actual line.
Include a program
To include a non-selected conversion program in the conversion run, select the actual line.
Click OK when you have made your selection.
Note: If you want to run the same conversion programs again the next time you run this routine, then you will not have to select conversion programs since your selection will remain the same until you manually change it.
Click OK to proceed with the conversion run.
Note: The system will now check if you have completed all the prerequisites for the conversion e.g. if all transactions in the interface and work files have been updated. The system will display error message “SC00103 – File &1 is not empty – See conversion guide for instructions for each and every file that must be empty before the conversion can begin“. This means that the prerequisites have not been completed, so see Prepare for the VAT reporting currency conversion for further information.
The system will inform you when each file has been successfully converted by sending the following message to your user message queue: “Conversion program completed normally for; xxx, yyy” where xxx is the name of the program and yyy the description.
When the conversion run has completed the following message will be sent: “Job VAT_CONV completed normally“.
