Add an external contact

External contacts can be added via the following:

  • Work with contacts routine
  • The Work with business partners routine, by clicking the Contacts tab. The same functionality that is available in the Work with contacts routine is also available from this location. In addition, the handling of any role for the business partner is also available.
  • The following panels in the Work with business partners routine, by clicking the Contacts function key on the following panels:
    • Customer file
    • Supplier file
    • A/R basic data
    • A/P basic data

The Work with contacts routine is described below. To add an external contact person of one of your company’s business partners do as follows:

  1. Select the Work with contacts menu item.
  2. You access the main contact panel where all existing external business partner contacts are listed. Click Add.
  3. You access the detail panel. Complete the following fields:
  4. Contact ID
    Enter a unique ID code to identify the contact person you are adding.
    Name
    Enter the name of the contact person.
    Public contact
    Leave the defaulted YES denoting that this contact’s details are available to all users.
    Contact user
    Leave the defaulted *PUBLIC allowing all users to make access to the details for the contact.
    E-mail address
    Optional entry. This information can be entered here or via the client type information in the Client parameters (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (ACCEMAIL) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the e-mail address for this contact.
    Phone number
    Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (*PHONE) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the phone number for this contact.
    Cell phone number
    Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (GSM) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the cell phone number for this contact.
    Fax number
    Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (ACCEFAX) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the fax number for this contact.

    Click OK to update. You return to the contacts main panel. You are now able to assign the applicable client type to the new contact ID. Continue with Assign a client type to an external contact.
