Report quality control using conformity criteria

Note: This functionality is only available if the DET-CRIT (Detail criterion) function is activated in the Function control file.

During the quality control you compare the conformity criteria that are specified for the item with the actual values of the received product. If the actual values do not conform to the specified criteria the product will be reported as non-conforming.

Note: This type of quality control can also be performed from the Batch maintenance, Serial number tracking maintenance, Requests and returns and Manufacturing routines.

Item conformity group and criteria set-up

Conformity criteria are used in the quality control of purchase orders. The conformity criteria will be copied to the quality control note and printed as informational text.

Conformity groups are defined in the Item conformity group table and conformity criteria in the Item conformity criteria table. Per conformity group you must define which of the existing criteria should be activated. The conformity group is then connected to an item in the Item file.

The set-up of the conformity criteria affects what values can be used in the quality control reporting:

Only pre-defined criteria values Values are defined for the criterion + the Only def values field is set to YES. The Conforming field in the Item conformity criteria table defines if the pre-defined criteria values are conforming or non-conforming.
Pre-defined criteria values + additional values

(New lines with additional reporting values can be inserted.)

Values are defined for the criterion + the Only def values field is set to NO. The Conforming field in the Item conformity criteria table defines if the pre-defined criteria values are conforming or non-conforming.

Additional reporting values that do not exist in the Item conformity criteria table will be regarded as non-conforming.

Range of values Range of values is specified for the criterion. Reported values inside the specified range will be regarded as conforming.

Reported values outside of the range will be regarded as non-conforming.

When the conformity criteria and groups have been set up, the conformity group must be connected to an item in the Item file. When this is done, all conformity criteria that belong to the conformity group will be available in the quality control reporting.

  1. Select the Confirm DIS quality control notes menu item.
  2. You access Quality control note confirmation. Select the line for which you want to control the conformity criteria and click QC reporting.
  3. You access Conformity criteria reporting, Non-conformity certificate. Complete the following fields:

    Depending on the set-up of the conformity criteria that are connected to the item in question, several scenarios may apply to this field:
    • Only pre-defined values: You can only report values that have been pre-defined. These are either defined as conforming or non-conforming.
    • Pre-defined and additional values: You can report pre-defined values or insert new lines with additional values that you want to report. Values that are not pre-defined will be regarded as non-conforming.
    • Range of values: If you report values inside the specified range, these will be regarded as conforming. Reported values outside of the range will be regarded as non-conforming.
    • Values from plug-in program: If a plug-in program is defined for the criterion, this field displays the conformity values that are generated by the plug-in program. The quantity that is reported will be defaulted for this line.

    Quantity
    Enter the number of items that correspond to the criterion value.

    Click OK. Depending on if you have reported conforming or non-conforming values, you will access different panels:

    • If you have reported conforming values you will access Quality control note confirmation.
    • If you have reported non-conforming values you will access Non-conformity certificate entry. Refer to Reject goods for more information about the Non-conformity certificate.

    When you have completed all relevant fields, exit the routine.
