In the event you do not copy the quotation to a service order right away, the system saves the last entered quotation. Hence, when you access the quotation entry panel the next time during the same working session, this last quotation number is displayed to the left at the bottom part of the entry panel. Click Cpy last quot to sales order to retrieved it to the Copy to sales order selection panel. If the quotation number displayed is not the one you want to copy, enter the applicable quotation number in the Copy quotation field and click OK.
Checks are performed during the copy process. If there are any errors in the source being copied, the order itself will be created, but you must correct the error to be able to continue processing. See Work with erroneous service orders for more information.
The steps below are a continuation of Enter a service order quotation.
- On Sales quotation maintenance, Quotation line entry, click Copy to SO.
- You access Copy to sales order selection. The following field is mandatory:
- Order type
- The order type is defaulted from the quotation entry, but can be changed.
- Copy WON only
- This field is only displayed if the LSTSL-QT (Lost sales tracking, Quotation) function is activated in the Function control file. Indicate if you only want to copy won quotation lines. For this example, enter NO to copy all lines.
- Note: If this field is set to YES, then order lines must have been marked as WON using the Won/Lost function key on the Quotation line entry panel.
- Maintain new order
- The default is YES. Leave this field set to YES indicating that you want the Work with sales orders program to prompt immediately after the copy is complete, where you can maintain the sales order.
- Note: Should errors have been detected during the copy process the Work with sales orders program is prompted by default.
- You access Copy service order jobs. You have two options on this panel:
- Either, highlight a job and click Select to include the whole job and all its lines in the copy process.
- Or, highlight a job and click Select lines to select individual job lines. The job will be included in the copying, but only together with the lines that are selected.
- You access the Select jobs panel. Click OK to confirm.
- You access Work with service orders, Service order jobs. (If the order was created with errors, you will access this panel in Work with orders in error mode. A message is displayed and you have to correct the errors before you can continue the process). Click OK twice to update and confirm. Exit the routine.
The following two fields are important for the continuity of the process:
