You can obtain information from your G/L account balances in three different ways:

  1. Through the Balances and budgets enquiry which is described in About making enquiries on G/L balances and budgets.
  2. Through the Query group enquiry which is described here.
  3. Through Report Writer where the layout of the reports and the information to include is completely user-defined. See About Report Writer for more information.

The Query group enquiry makes it possible to view totals of different balances on accounts and summary identities based on your selection. Before running this type of enquiry you can narrow down the information you want to retrieve for the keys in the template. You do this by defining a query group where you filter the selections for the Periods and Keys you want to use. You then choose the key value(s) on this panel and click Query groups to select the applicable query group. The balances and/or budgets you retrieve are based on the filtered information.

This enquiry also gives you the possibility to make enquiries on single values or a combination of accounts, summary identities in the system, reporting as well as transaction currency. Defining a query group allows you to “save” the most relevant enquiry scenario and retrieve the current values from the database at any time. You are also allowed to make ad hoc enquiries using a temporary query group.

Nine columns of information can be displayed at the same time which gives you the possibility to easily compare this year’s values with budget or last year’s achieved result.

The result from the query group may be analysed on three different levels:

  1. The first level is a grand total of your selections defined in the query group.
  2. The second level displays subtotals per account combination.
  3. The third level displays the detailed transactions that build up the subtotals.

All these levels are easily retrieved by just clicking a function.

There are two types of query groups:

  • Normal query groups where you define specific values against which you want to retrieve data for any of the keys defined in the template.
  • Quick query groups that you can define on the fly. The name of this query group is automatically generated by the system (i.e., your user profile id). This type of query group is defined in the same manner as the normal. The advantage, however, is that the query selections are specific for your user profile only, allowing you to change a filter on the fly.

Note: You can secure both types of query groups from access, meaning no one else will be able to see your query groups.
