Delete an item

The system provides several preliminary steps, before the actual deletion, to ensure that the item you want to delete is the correct one. These include:

  • Creating a proposal, listing the items that can more than likely be deleted. Note: There can be only one proposal at a time. If you create a new proposal when one already exists, the first proposal will be deleted.
  • Maintaining the proposal, which gives you the option to remove those items you do not want to delete.

Distribution items
A check is also performed before the deletion to ensure that the item can be deleted. The system checks that the following is true for the item:

  • no open sales orders exist
  • no open purchase orders exist
  • no sales statistics exist
  • no purchase statistics exist
  • no item on any pick list
  • no item delivered but not invoiced
  • stock on hand must equal zero

Manufacturing items
If Manufacturing is activated, the system checks that mentioned above, but also that the following is true:

  • No structure records exist
  • No manufacturing orders exist
  • No manufacturing order history exists

If any of this is not true, the item will not be deleted.

To exemplify, you will run through each step prior to the actual deletion.

  1. Select the Create item file reorganisation proposal menu item.
  2. You access Item file reorg proposal creation where you select the items you want to delete via the selection parameters below:

    All items that were entered into the system before this date will be included in the proposal.
    Only inactivated
    The default is YES meaning only the inactivated items shall be included in the selection. For this example, change to NO.
    Tip: To inactivate an item you highlight the item on the initial Work with items panel and click the Inact option. To activate an item, click the Act option on the same panel.
    Skip ITR/SNT check
    Set this field to YES if you want the system to bypass the check for inactive items that have existing Inventory transactions/Serial number records (i.e. you want to include inactive items marked for deletion in the proposal even if Inventory transactions/Serial numbers records exist for the item).
    Print list
    The default is YES. For this example, keep YES meaning the proposal should be printed listing those items that are to be deleted. As mentioned earlier, only those items that are valid for deletion (according to the system check) will be included in the selection.

    Complete the printing parameter fields on the bottom of the panel and click OK or press F2 if authorised.

    You can now maintain the created proposal.

  4. Select the Work with item file reorganisation proposal menu item.
  5. You access Item file reorg proposal maintenance, listing only those items that can be deleted.
  6. You have two options. You can:

    1. Remove the items from the list that you do not want to delete. If several pages of items exist, you remove the ones you want, one page at a time. Mark those you want to delete and click OK.
    2. Accept all items displayed for deletion. Click OK.

    You are now ready to physically delete the items from the Item file.

  7. Select the Reorganise item file menu item.
  8. You access Item file reorganisation where you perform the actual deletion of the items from the Item file according to the proposal you have created and maintained. Before deleting, the same check, as described above, will be performed. If any of those prerequisites are not true, the item will not be deleted. In addition, complete the following fields:
    Skip ITR/SNT check
    Set this field to YES if you want the system to bypass the check for inactive items that have existing Inventory transactions/Serial number records and delete the inactive items anyway even if this information exists for the item.
    Save deleted ITR trn
    Set this field to YES if you want to store all deleted Inventory transactions on an external storage.
    Diskette/tape unit
    If Save deleted ITR trn is set to YES, enter the diskette or tape unit to which the deleted Inventory transactions should be saved.

    Click OK or press F2 when ready. A list will be printed with the deleted items.
