Order settlement transactions differ from other accounting transactions. Accounting transactions are not created for order settlements.
With order settlement, a customer may directly pay for the items ordered (a payment is received for a created sales order). The information about the received payment is saved in Distribution together with the corresponding sales order information. At that point no accounting transactions are created.
If Order settlement is selected in Accounting transactions transfer, it means that based on the order settlement information, the corresponding payment transactions will be created and transferred to Financials. The document type which will be applied for the created payment document determines the General Ledger accountings.
Depending on the type of payment the following system document types can be used by the system:
Payment type | System document type used for payment |
---|---|
CHK DIS received cheque | OCK A/R payment received – cheque |
CRD DIS received credit | OCC A/R payment received – cc. Note: See About Australian cash sales for more details. |
CSH DIS received cash | OCH A/R payment received – cash |
XFR Bank transfer | OCT A/R payment received – xfer. Note: See About Australian cash sales for more details. |
A Payment type is indicated by the user at order settlement creation. Currently the following types are available:
- Cheque
- Credit card
Note: See About Australian cash sales for more details. - Cash payment
- Bank transfer
Note: See About Australian cash sales for more details.
Note: The payment document created at transfer to Financials will be settled with the related invoice document.
It means that:
- if the invoice and the corresponding order settlement are transferred at the same time
or
- if the invoice is already updated in Financials at the time order settlement is transferred, then the payment will be settled with the corresponding invoice.
In summary, the Payment type entered at order settlement determines the corresponding document type which defines accountings for the payment created at transfer to Financials.
The created payment will be updated with the document type which is defined in the System document type table for the applied System document type. By default, the system document type and the document type it indicates are equal. However it is possible to overwrite the default value and use another document type instead.
