When you have created an inventory proposal and made the desired changes, you need to validate the assets and update the Asset file. Before you validate the proposal you can change information for single assets and update the Asset file with the changes. By updating the system, you:
- Update the inventory date in the Asset file.
- Release the assets and remove the proposal, provided all assets are validated.
- Update physical movements.
- Select the Work with inventories menu item.
- On the Inventory – proposal overview panel, select the proposal you want to update.
- You access Inventory – activity selection. Tick Validate inventory and click OK.
- You access Inventory – proposal validation showing a list of all the assets included in this inventory proposal.
- Validated
- This column indicates if the asset can be updated.
- Select the asset for which you want to change certain information.
- You access Inventory – proposal validation with the details for the selected asset. You can do the following on this panel:
- Validated
- YES is defaulted. If you want to delay validating the inventory information and updating the inventory date for the asset, then you change the code to NO. The asset will then be kept in the proposal when you click Update asset file to validate the proposal.
- On the Inventory – proposal validation panel you update the proposal with all validated assets by clicking Update validated. By doing that, the last inventory date will be updated for the validated assets and they will be deleted from the proposal. Note: Assets that, for some reason, are not correct must be changed manually before you click Update validated. When you have made the corrections and updated the Asset file with the changes, you re-access Inventory – proposal validation where you can update the proposal. Exit the routine.
Changing information
If you would like to change some information for a single asset before the update, do as follows:
(If you do not need to do any changes, then go directly to step 7 in section Updating.)
All information regarding descriptions, cost centre, project, responsible and physical location can be changed before validation. However, if you make changes to this panel, then you must update the entry in the Asset file by clicking Update asset file. Note: If these changes have an impact on asset balances, then the system performs an automatic balance movement when calculating depreciation the next time. When you have updated the Asset file with the changes, you re-access Inventory – proposal validation where you can update the proposal.
