Set up supplier purchase prices

Note: You establish the pricing information for a combination of item, supplier, unit and currency for a single period, or multiple periods via validity dates (from-to dates).

File Setup description
Work with items (Purchase prices panel)
  1. Select the Work with items menu item.
  2. On the initial panel, select the applicable item and click OK.
  3. Navigate to the Purchase prices panel and then click Add.
  4. On the Item file maintenance, Purchase prices, details panel enter the purchase price header details for the item/supplier and click OK.
  5. You return to the initial Purchase prices panel. Highlight the supplier and click Prices to access the Purchase price per period, current panel.
  6. When entering only one fixed price, the following fields are mandatory:

    From date
    Enter the start date of the validity period for the prices.
    To date
    Enter the end date of the validity period for the prices. Leave blank if you want the pricing to be valid indefinitely. Only one record per item/supplier/unit can hold a blank to-date.
    Price 1
    You do not have to enter a price here. If you leave this field blank, you must manually enter a price during purchase order entry.

    Click OK to confirm the information.

    Quantity dependent prices
    You also have the option to enter prices or discounts according to the quantity you will buy from the supplier. The easiest way to enter quantity dependent prices from your supplier is to enter the following:

    Price 1
    You must always enter this price.
    Qty dep price
    Must be set to YES.
    Discount
    Enter the discounts in the four fields at your disposal.
    Limit
    Enter the quantity that you must purchase from the supplier to receive the discounts.

    Click OK. The system automatically calculates the corresponding prices in the Price 2 to Price 5 fields. Note: You can, instead, enter the different prices in the Price 1 to Price 5 fields and let the system calculate the discounts. Click OK again to update and then exit the routine.

Recalculate purchase prices

If the supplier informs you of a generic price change for all or several items, you have the option to change all current prices and quantity limits according to the increase or decrease in price. The system updates the Purchase prices file with the new information.

This price change can apply to:

  • all items in the same item price group, and/or
  • all items with the same supplier, and/or
  • a specific currency, and/or
  • a specific unit

Note: This price change (increase or decrease) is calculated on the current Price 1 or Quantity dependent prices.

To change the current prices and quantity limits do as follows:

Recalculate purchase price On the Purchase price recalculation panel, do as follows:

The following field is mandatory:

    Currency
    Enter the currency for which the price change shall apply.

Select one or all of the following fields for which the mass update shall apply:

    Item price group
    Enter the item group for which the price change shall apply.
    Supplier
    Enter the supplier number for which the price change shall apply.
    Unit
    Enter the unit for which the price change shall apply.

If you want to mass update the Price 1 or Quantity dependent prices enter the following:

    From date
    Enter the date from which the new prices, discounts and limits should be valid.
    Change in %
    Enter the percentage change that the system should calculate on the Price 1 or Quantity dependent prices to get the new prices.
    Discount 2-5
    If you want to change the discounts, enter the new discount percentages. The system calculates these on the Actual price 1 to get the new prices for Actual price 2-5. Tip: If you want to change just an existing discount, enter only that Discount and no corresponding Limit.
    Limits 2-5
    If you want to change the limits, enter the volume limits that correspond to the Prices 2-5.

Examples:

Increase Price 1

If only Price 1 is defined for this item in the Item file, and you want to increase the price, the system calculates the new price as follows:

Current Price 1 = 680 GBP

Change in % = 10

New selling price = 748

Increase qty dep prices

If you want to increase quantity dependent prices, you have three options:

  1. You can implement the change in percentage on the current Price 1. The system will update the current Prices 2-5 by calculating the existing discounts 2-5 on the new Price 1.

  3. You can enter new discounts in the Discount 2-5 fields. The system will calculate the new Discounts 2-5 on the current Price 1.

Rounding prices

In the following fields, you can enter the price adjustment rules:

    To value
    Enter, in ascending order, the price adjustment break levels.
    Adjust to
    Enter, for each adjustment break level, the value to which a price in the specific price range shall be adjusted.

Click OK. The system automatically calculates the new prices and updates the Purchase prices file.
