Set up accounting defaults in Distribution

You define accounting defaults when you use the Table dependent accounting method or the Table value default accounting using Accounting matrix method to retrieve an account for an account part, in Financials. (See About setting up the accounting matrix for more information).

The other method is Fixed accounts, which is described in Set up fixed accounts in Distribution.

Prerequisites
Before you set up this program, you must have set up the pseudo accounts in Work with logistic pseudo accounts.

To exemplify, assume you want to define accounting defaults for account parts 2 and 3, belonging to a sales account in Financials. The sales account strings are defined as follows in the Account file in Financials:

The accounts C1, C2 and C3 are defined in the Account file for account part 2 in Financials. The accounts CON, OFF and PRD are defined for account part 3 in the Account file.

Account part 2 is used to separate sales, using the Customer/supplier group table, according to the following:

Customer group Description
C1 Customers – Domestic
C2 Customers – EU
C3 Customers – Outside EU

Account part 3 is used to separate the different item groups, using the Item group table, according to the following:

Item group Description
CON Consumables & Accessories
OFF Office equipment
SPP Spare parts
  1. Select the Work with accounting defaults menu item.
  2. On the initial panel, all tables that can be used in the table dependent accounting are displayed. For this example, select the Customer/Supplier group table to define accounting defauls for it.
  3. You access Work with accounting defaults.
  4. The codes displayed to the left on this panel are the customer/supplier groups that you have defined in the Customer/Supplier group table.

    For this example, enter for each customer group record (C1, C2 and C3) which logistic pseudo account, in Work with logistic pseudo accounts, should be used to retrieve the actual account in Financials. Enter the corresponding pseudo accounts in the Acc.p 2 column.

    Tip: Click F4 or the prompt icon to see a list of all valid pseudo accounts from Work with logistic pseudo accounts.

    Click OK.

  5. You return to the initial panel. Select the Item group table to define accounting defaults for account part 3.
  6. You access Work with accounting defaults. The codes displayed to the left on this panel are the item groups that you have defined in the Item group table. Enter the pseudo accounts in each account part for the table records. For this example, enter the corresponding pseudo accounts in the Acc.p. 3 column. Tip: Click F4 or the prompt icon to see a list of all valid pseudo account from Work with logistic pseudo accounts. Click OK. Exit the routine.
