Working with analysis reports

Reviewing analysis report contents on-line is a functionality used within the A/R and A/P analysis tasks routine. The purpose of the tool is to improve easy access to and visibility of analysis information for A/R and A/P transactions.

The on-line reports are useful for analysing cash flow in the company. They also contain information about customer receipts you can expect and what supplier invoices that will be due for payment within the date interval you select.

The report can be based either on document date, on due date, supplier invoice date or cash discount date 1, and all open items that meet the selection criteria are included.

You use the same sequences and selections as for the Print A/R – A/P analysis routine. For example, you can select on only customer/supplier number or on the combination supplier number, due date and amount. To narrow down your search for a specific transaction you enter the appropriate values in the selection fields.

Sequences
You decide the sequence in order to receive the best result of the selections you make. The sequences make it possible to sort the transactions in a pre-defined manner.

There are two sequences, heading sequence and detail sequence, in which you can determine the display order of the on-line report. You are able to combine the sequences in whichever order you want the on-line report to be displayed.

Specifications
On the specifications panel you specify further the type of on-line report you want to view. Sub-totals and details are shown in the currency that you select on this panel. Totals are always displayed in system currency for the currency that you select, except when you select reporting currency, where sub-totals and details are displayed in reporting currency and totals are displayed in both reporting and system currency.

You can also decide if you want the sub-totals to be sorted in ascending or descending order. If you leave the field blank the sub-totals will be sorted in sequence order.

Template
You can create your own template(s) with selection and sequence parameters to be used during analysis. You will define the parameters for selection and sequencing as in the Analysis list program, except that for a report on-line it is only possible to select a maximum of 4 sequences.

The last template you used in the analysis program will also be the one defaulted when you enter the analysis on-line the next time. The SYSTEM template is defaulted to the program if a template has not previously been selected.

Report levels

You have the possibility to drill down through a maximum of four levels in the reports. How many steps you may drill down depends on your entered sequences. You start with the total level and then drill down to level 4 depending on how many levels that have been defined. The detail level may be reached from all above mentioned levels if you have specified details in your specifications.

The different levels will display different information on the panels:

Total level:

  • Grand total, and
  • A/R and A/P total.

You only access the total level when you select both A/R and A/P records, or when you have selected one of these in combination with the Detail field on the specifications panel. If not, then the report will directly display the next total level, i.e. the Work with A/R – A/P analysis reports, Sub-total level 1 panel.

The Grand total is displayed at the top part of the panel. The Grand total is the sum of the displayed lines, A/R and/or A/P totals, at the bottom part of the panel.

Sub-total level 1:

  • A/R or A/P total. The selected line on the previous panel.
  • Sub-totals 1.

You access your report on sub-total level 1, i.e., the total amount for the first sequence that you have selected on the sequence selection panel.

You access this level from Work with A/R and A/P analysis report, Total level, when you select sub-totals on the sequence panel, A/R or A/P records and the Detail field is set to NO on the specifications panel. You also access this level from Work with A/R and A/P analysis report when selecting the Next level option.

The A/R or A/P total is displayed at the top part of the panel. The A/R or the A/P total is the sum of the displayed lines, sub totals 1, at the bottom part of the panel.

Sub-total level 2:

  • Sub-total 1. The selected line on the previous panel.
  • Sub-totals 2.

You access your report on sub-total level 2, i.e., the total amount for the second sequence that you have selected on the sequence selection panel.

In the top part of the panel you will see a field indicating Sub-total 1. Sub-total 1 is the sum of the viewed lines, Sub totals 2, at the bottom part of the panel.

Sub-total level 3:

  • Sub-total 2. The selected line on the previous panel.
  • Sub-totals 3.

You access your report on sub-total level 3, i.e., the total amount for the third sequence that you have selected on the sequence selection panel.

In the top part of the panel you will see a field indicating Sub-total level 2. Sub-total 2 is the sum of the viewed lines, Sub totals 3, at the bottom part of the panel.

Sub-total level 4:

  • Sub-total 3. The selected line on the previous panel.
  • Sub-totals 4.

You access your report on sub-total level 4, i.e., the total amount for the fourth sequence that you have selected on the sequence selection panel.

In the top part of the panel you will see a field indicating Sub-total level 3. Sub-total 3 is the sum of the viewed lines, Sub totals 4, at the bottom part of the panel.

Detail level:

  • Grand total, or A/R or A/P total, or one of the sub-total levels. The selected line on the previous panel.
  • Details.

You access your report on detail level, i.e., and you can reach this panel from all levels if you have set the Details field to YES on the specifications panel.

In the top part of the panel you will see either the Grand total, A/R or A/P total or one of the sub-total levels. The total is the sum of the viewed lines, Details, at the bottom part of the panel.

Enquiries

You can find information for the on-line report in the following enquiry program, which is part of the analysis routine:

  1. Select the Specification option on the Work with A/R – A/P analysis reports overview panel.
  2. On the Work with A/R – A/P analysis reports, Selection enquiry sequences panel, click OK.
  3. You access Work with A/R – A/P analysis reports, Selection enquiry specifications. Click OK again.
  4. You access Work with A/R – A/P analysis reports, Selection enquiry selections.
